Manage Waitlist Subscribers
The Subscribers tab in the Waitlist page lists every shopper who joined a waitlist. Use it to measure demand for upcoming products and to check that availability emails were delivered.
Subscriber Statuses
Section titled “Subscriber Statuses”| Status | Meaning |
|---|---|
| Pending | The shopper joined the waitlist, but the product is not available yet. No email has been sent. |
| Sent | The product became available and Qivra successfully sent the notification email. |
| Failed | The product became available, but the email could not be delivered (invalid address or provider error). |
| Cancelled | The shopper removed the subscription themselves — via the Remove link in their confirmation email or by unsubscribing from all emails. |
View and Search Subscribers
Section titled “View and Search Subscribers”- Open the Qivra PreOrder admin and go to Waitlist.
- Click the Subscribers tab.
- Use any combination of filters to narrow the list:
- Search - Enter an email address or product name to find specific subscribers.
- Status - Pick one or more of Pending, Sent, Failed, Cancelled.
- Change Rows per page (10, 25, 50, or 100) or move through pages with the pagination controls.
The Subscribers tab label shows a badge with the number of pending subscribers, so you can see demand at a glance.
Understand the Columns
Section titled “Understand the Columns”- Product - The product (and variant, when the shopper subscribed to a specific one) the shopper is waiting for.
- Email - The address the shopper entered in the popup.
- Status - Pending, Sent, Failed, or Cancelled.
- Notified at - When Qivra sent the availability email. Empty for Pending subscribers.

Common Tasks
Section titled “Common Tasks”Gauge demand before a launch
Section titled “Gauge demand before a launch”Browse the list (or search for the product) and count how many distinct emails are Pending for it. A long pending list before launch is a strong signal to stock more inventory.
Confirm an email was sent
Section titled “Confirm an email was sent”After the product becomes available, filter or search for the subscriber and check that the status changed from Pending to Sent.
Investigate a failed notification
Section titled “Investigate a failed notification”A Failed status usually means the address is invalid or your email provider rejected the message. Check your provider settings and see Set Up Custom Email (SMTP) if you have not configured a custom sender.
- Subscribers are created automatically when shoppers use the join-waitlist popup on your storefront — or imported in bulk from the Import subscribers button in the Subscribers tab.
- One email per shopper per product is kept as pending; duplicate signups show the “already subscribed” message instead.
- Availability is checked every minute, so it can take a few minutes after a restock for emails to go out and statuses to update.
- Subscribers watching several products that become available at the same time receive one consolidated email listing every item, so customers are never spammed.
Importing subscribers in bulk
Section titled “Importing subscribers in bulk”Moving from another waitlist app? The Subscribers tab has an Import subscribers button with two modes:
- Manual - Add rows in a table: pick one or more variants and paste one or more emails per row. Every variant × email pair becomes a subscription.
- CSV - Download the template, fill it in (
emailrequired,skupreferred,product_title+variant_titleused when SKU is blank), and upload the file.
Imported subscribers are created as Pending — no emails are sent at import time; they’ll be notified as soon as the product becomes available. Each import handles up to 1,000 rows, and the result report lists every row that could not be imported with the reason.
